Job Opening: School Office Manager
Location: Seattle, Washington
Schedule: Full-Time, Monday-Friday (40 hours per week). Some evenings and weekends are required
for special events.
Description: MMSC/SJM is seeking an administrative assistant / office manager who can assist in managing the day-to-day operations by answering phones, sending emails, ordering supplies, paying bills and much more. The admin reports to the Head of School, (HoS) and the Business Manager. The role of assistant is to perform various administrative and clerical duties.
Duties:

Answer phones, respond to parent and staff needs and concerns and direct calls to the appropriate person

Check and manage specifics of school emails.

Check and manage specifics of voicemails.

Collect the mail from the outside mailbox and distribute mail to the appropriate staff person.

Assist staff with the check in process, make sure that sheets are printed and available.

Prepare coffee, milk, paper goods etc.

Maintain the office printers for paper/toner etc.

Monitor office and building supplies and order replacements from Office Depot, Amazon, and U-line.

Open packages and distribute contents to appropriate staff

Deposit checks with Chase online.

Pay bills and write checks when needed.

Work in conjunction with the Business Manager and with Fifth Light Advisors,an accounting/bookkeeping firm in NY. Inform Fifth Light Advisors of proper categorization for all income and expenses.

Answer calls from parents on a daily basis.

Manage students who are sick, call patents etc.

Assist HoS with the newsletter.

Monitor maintenance needs for building and manage the janitorial staff.

Supports HoS and other administrative personnel.
Qualifications:

High school diploma or GED.
-
Formal qualification in office administration, secretarial work, or related training.

At least 2-3 years of experience working in an office, preferably a school office.

Advanced proficiency in managing documents and spreadsheets

Ability to liaise internally and externally on administrative matters.

Exceptional recordkeeping, and organizational skills.

Working knowledge of printers, copiers, scanners, and fax machines.

Excellent written and verbal communication skills.

Exceptional interpersonal skills.
Compensation: $41,000-$47,000 depending on experience plus Jewish holidays off and two weeks vacation during summer break.
