Job Opening: Synagogue Administrator

 Location: West Hollywood, CA

 Schedule: 30 hours per week, flexible daytime schedule, Monday-Friday

 Duties:

  1. Responsible for all Bookkeeping, including data entry into Quickbooks, monthly payroll, Synagogue’s A/R, monthly invoicing, Vendors A/P, bill entries, etc
  2. Review and Complete monthly bank, credit card, and other accounts reconciliations
  3. Track and handle open invoices, accounts payable and receivables
  4. Prepare contracts, and 1099’s for all new hires and perform 1099s filing at year-end
  5. Produce Monthly and Annual Financial Report
  6. Maintain Employee birthday calendar
  7. Responsible for full enrollment for Village Hebrew School and Bar/Bat Mitzvah Academy including form submission, payment plans, authorized tuition assistance/scholarship, as well as following up with missed payments/defaulted cards, etc)
  8. Monitor Internal Documentation including filing and organizing office files and electronic files daily.
  9. Assist in general coordination with vendors and service providers
  10. Assist in the drafting of Contract Documents, Budgets and Scheduling
  11. Sending, receiving, and sorting mail, emails, and voicemails
  12. Keeping stock of inventory, ordering supplies, and ensuring proper functioning of office equipment
  13. Execute monthly security and maintenance calendars
  14. Utilize the database to collect birthdays and yahrzeits of Shul attendees and key donors.
  15. Coordinate kiddush sponsorship, monthly shul lectures, birthday kiddush calendar, and Jewish naming ceremony
  16. Uploading photos from all programs
  17. Executing weekly email Friday email from the Rabbi
  18. Executing weekly print newsletter with announcements, images of past week, blurbs etc
  19. Compiling and executing monthly Village emails about prior and future events.
  20. Coordinate thank you letters and gifts.

 Requirements:

  1. Excellent written and verbal communication skills.
  2. Prior non-profit/start-up experience
  3. Strong detail-oriented, organizational, communication, and interpersonal skills.
  4. Proficiency in MS Office Excel and Word, G Suite, and Intuit QuickBooks
  5. Ability to take initiative and work independently
  6. Self-motivated individual who can attend to the needs of the team efficiently and accurately.
  7. Squarespace/Shopify/MailChimp experience a plus.
  8. Familiarity with Judaism, including holidays and lingo (“kiddush”, “yahrzeit” etc)

Compensation:  $31-$33 per hour
